Organization Description: The African Community Education (ACE) Program is a non-profit community organization established to address the educational & social needs of African refugee & immigrant populations in Worcester, MA. ACE works by assisting families to achieve educational & social stability by providing access to academic support, community resources & avenues for cultural expression. Job Description: The Administrative Assistant provides secretarial assistance to the Executive Director and support to the Operations department. This position requires a highly organized individual with strong attention to detail and a high degree of confidentiality. Responsibilities include, but are not limited to: Manage the Executive Director's calendar, schedule, meetings, and social media. Act as an initial point of contact between Executive Director and staff, Boar of Directors, politicians, community leaders, and media. Maintain a high level of confidentiality and professionalism. Intake and revises Immigration documentation; tracking payments. Field and direct phone calls, office visitors, and mail deliveries. Assist with special projects as needed Sit on Capital Campaign Committee - planning and implementation of capital campaign and building renovation project. Sit on the Board Operations Committee - staff liaison to Board of Directors Support the HR department Support the Financial department with bill paying Assist with grants research and reports Support the Development department with minor donor stewardship and data management; minor event planning for major ACE events (e.g. Gala, Donor &Volunteer Appreciation, African Day). Aid the overall office organization (supplies, cleanliness, and parking schedule among others) Required Qualifications: Ability to work independently on assigned tasks as well as to accept direction on given assignments Exceptional attention to detail in composing, processing and proofing materials Ability to manage multiple tasks and prioritize key duties; strong organizational skills Ability to organize and analyze data for reports and find solutions to various administrative challenges Knowledge of Immigration laws and processes or willingness to learn Must be able to read and understand a grant contracts to determine whether expenses fall under the grant requirements Strong computer skills; excellent knowledge of Microsoft Office: Word, Excel, PowerPoint Must be able to pass a CORI background check Experience working in a multi-cultural setting Bachelor's degree or equivalent experience Work Schedule : 20-hours per week.
