Human Resources Assistant (Bi-Lingual Spanish required)

Job Description:

The successful candidate will support Imperial's Human Resources department by providing front line HR support to all team members. This position will require clerical support to our team, assist with data entry processing and reporting in the UltiPro HRIS/Payroll system. The HR Assistant is expected to perform responsibilities with a commitment to providing superior service to Imperial team members, and maintaining efficient and effective departmental operations. Above all, the HR Assistant must fulfill the needs of the office in a manner which is consistent with Imperial's Vision. Maintains and understands the importance of confidentiality in all HR processes.

  • Provide administrative support to human resources functions as needed (e.g. correspondence generation, personnel file maintenance, Ultipro HRIS entry and reporting).
  • Assists with the onboarding process which includes phone screening applicants, scheduling interviews, and completing interviews. Informing applicants of the outcome of their interviews.
  • Complete the hiring process for new team members: ensuring all required employment and benefits documentation and information are complete. Process the paperwork efficiently and effectively; administering drug tests and running background checks.
  • Assists with the scheduling of DOT drug testing for Imperial commercial Truck Drivers.
  • Participate in New Hire Orientation
    • Assists with employee relations and the development of team members.
      • In conjunction with the Benefits Specialist, processes and administers benefit plans in accordance with federal and state regulations and plan provisions are followed.
      • Functions as liaison for employees with benefits-related questions. Research benefits questions and process requests for benefits information within one business day whenever possible.
      • Process of associated documents to finance to ensure the processing of Ulti-Pro information and payroll deduction changes; i.e from changes of employment status, change of hours, etc., are handled with accuracy and as needed.
      • Maintains employee personnel files, appropriate benefit files; and files all requested documents accurately into personnel files.
        • Keeps management advised of potential problem areas and recommends/implements solutions as appropriate.
        • In conjunction with the HR Manager, schedules post workers compensation accidents with occupational health providers.
        • Schedules post-accident safety refresher training for returning injured team members.
        • Assist with Company Function Planning (Annual Awards Banquet; Holiday Party).
          • Provides backup to other Human Resources staff as needed.
          • Participates in special projects as needed.REQUIREMENTS/QUALIFICATIONS:
            • Minimum of an Associate's Degree in business, human resources, or equivalent combination of education and experience preferred.
            • At least two to four years' experience in Human Resources, clerical role or a business setting.
            • Congenial attitude, cooperative, professional and productive.
            • Ability to be flexible, well organized and detail-oriented.
            • Ability to handle confidential matters in a mature and responsible manner
            • Excellent verbal and written communication skills to work with all levels of staff and management.
            • Excellent computer skills; proficient in Microsoft Office.
            • Experience working with Ulti-Pro Software a plus.
            • Highly organized, detail oriented, and ability to multi-task.
            • Ability to manage multiple projects with competing priorities and deadlines.
            • Limited local travel required.
            • Fluent in Microsoft Office Skills.
            • Ability to read, write and speak Spanish.LANGUAGE SKILLS:
              • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Specific vision abilities required by this job include distance vision, peripheral vision, depth perception, and the ability to adjust focus.
                • Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
