Overview
Under the general direction of the Director of Finance for
University of Massachusetts Chan Medical School, Commonwealth
Medicine, this support staff is responsible for overseeing all
activities related to Commonwealth Medicine's workforce management
and time entry system, currently UKG (KRONOS). This includes
maintenance of the system as currently implemented, maintenance and
development of organizational best practices for usage, development
of new processes and procedures, and user support.
Responsibilities
Day to day oversight of functional system support and
maintenance.
Managing of data correction process, including inputting updates
and utilization of correction data for process improvement.
Enhancement and utilization of current functionality, specifically
related to reporting.
Oversight of prioritization, testing and implementation of system
enhancements.
Development of training and other materials and communications to
instruct and inform users at all levels on system changes and
enhancements.
Partnering with software vendor on development direction for new
reporting and system tools.
Maintenance and development of user-guides and job aids for various
functionalities.
Monitoring of weekly organizational performance and compliance and
accuracy of timecard data.
Partner with Finance and other stakeholders, at all levels, to
understand business requirements and translate into system
functionality.
Upload weekly reports to internal program developer (IT) for entry
processing.
Provide user training as needed.
Troubleshoot issues identified by users and implement corrective
actions.
Report issues/bugs to software vendor and collaborate on
solutions.
Collaborate with other areas of the University to support system
operations including interfaces and processes.
Administration of system security.
Prepare regular dashboard reports related to utilization and
productivity at an organization, solution set and department
level.
Perform related duties as required.
Qualifications
REQUIRED EDUCATION
Bachelor's degree in business, business administration, information
systems or related field or equivalent business experience.
REQUIRED WORK EXPERIENCE
* 3-5 years of related professional experience.
* Demonstrated ability in data management and/or system
administration processes.
* Demonstrated experience/skills in computer applications including
databases or other analytical applications.
* Functional understanding of key processes in Time and Labor
* Strong analytic skills and proven competence in independent
problem solving
* Excellent communication skills: interpersonal skills necessary to
interact successfully with a wide range of stakeholders
* Demonstrated ability to develop and automate repots utilizing
analytical and business intelligence tools
* Ability to work with staff at various levels to ensure effective
operations to maintain accurate records and use discretion in
handling confidential information.
* Demonstrated ability to meet reporting deadlines.
* Demonstrated organizational, interpersonal, and problem-solving
skills required.
* Demonstrated ability to handle details, multi-task and prioritize
work.
* Ability to think creatively and analyze data from new
perspectives
* Ability to work in a team environment providing high quality
customer service.
