Job Description:

Reporting to the Director of Stewardship Programs and Presidential Events, and supporting team members in all aspects of the College's high profile, high-impact stewardship and recognition program, this position provides comprehensive support of all stewardship activities to include the coordination and execution of mailing annual reports, event planning and execution, distributing and tracking of donor correspondence, creation and tracking of unique institutional gifts and other meaningful donor experiences, management of accurate records, in accordance with the Colleges policies and best practices, and other duties and project oversight as assigned.

Major Areas of Responsibility

  • Coordinates activities of and provides support to the department.
  • Executes all aspects of mailing projects, including creation of mailing lists, ordering supplies, tracking responses, submitting graphic arts requests, ensuring materials are available as needed, and preparing mailings (labels, stuffing, etc.)
  • Supports the planning and execution of Stewardship-related events including dinners, receptions, and other events by maintaining guest lists, pulling briefings and bios for the director as needed, tracking RSVPs, creating name tags, working with Graphics Arts on production of materials and other event-related duties as assigned; and participates in building dedications, gift celebrations, fundraising events.
  • Responsible for maintaining an inventory of unique institutional gifts and other meaningful donor experiences.
  • Ensures timely and accurate data entry related to the department's activities, including the recording of contact reports and scholarship beneficiaries, and the creation and updating of stewarded fund records in the database, specifically attending to the maintenance and oversight of achievement societies and publication names.
  • Processes all departmental expenses correctly and accurately and conducts all efforts in a fiscally responsible manner.
  • Other general duties (meeting scheduling and preparation, photocopying, ordering supplies, etc.) and project-specific support as well as project management as assigned.
  • Some evening and weekend work related to special events and meetings required.
  • Other duties as assigned.

    Requirements:

    • 2-3 years of professional experience, or the equivalent education and/or experience.
    • Proficient in MS Office computer software applications, particularly Excel.
    • Excellent written and verbal communication skills and the ability to interact well with others
    • Ability to assimilate data and exercise sound judgment and discretion
    • Analytical, well-organized, ability to handle multiple tasks and priorities simultaneously, and consistently meets all deadlines.
    • Detail-oriented, accurate, and able to work independently while being sensitive, personable, and experienced in customer relations skills
    • Able to initiate and complete projects and provide donor support with little supervision, exercising good judgment
    • Accuracy in materials preparation, dependability, and ability to maintain confidentiality

      Desired Qualifications
      • Familiarity with fundraising databases, Advance platform, STAR, ImageNow and Jasper
      • Prior experience with Stewardship/Donor Relations preferred, including reporting, donor recognition, acknowledgments, and events a plus.
      • Experience working with donors is preferred
